NOW HIRING: Financial Operations & Office Manager

Summary: The Financial Operations & Office Manager is responsible for providing leadership, organization, management and vision necessary to ensure that United Way of Siouxland has the proper operational controls, administrative and reporting procedures, information technology infrastructure, and people systems in place to effectively meet the strategic mission and objectives of the organization. The individual collaborates with the President to ensure financial strength and operating efficiency in support of the needs and programs in the communities we serve.

Direct reports include Administrative Assistant & Partner Firm which executes pledge processing, accounting & IT functions of the organization.

Duties and Responsibilities:
• Directly oversee and execute critical office functions with a focus on finance and administrative operations.
• Proactively manage relationship, communications & workflow through accounting, pledge processing & IT services provider.
• Collaborate with the President to design, develop and implement business strategies, plans and procedures that align short and long-term objectives with organizational vision and operational strategy.
• Identify areas for process improvement and enhancement. Ensure internal controls and systems are adequately designed and operating effectively.
• Foster a success-oriented, accountable environment within the organization.
• Maintain and build trusted relationships with key customers, clients, partners, and stakeholders.

Knowledge, Skills, and Abilities:
• Bachelor Degree with business and or bookkeeping or accounting emphasis preferred, or equivalent experience.
• Experience managing finance, bookkeeping, & office operations.
• Experience developing budgets and oversee purchases to monitor that annual expenditures adhere to annual budget.
• A collaborative and flexible operating style.
• Excellent interpersonal and written communication skills.
• An understanding of or experience with nonprofit organizations.
• Ability to read, analyze, and interpret financial reports & documents; respond promptly and effectively to inquiries.
• Proficiency with Microsoft Office Suite.
• Knowledge of benefits management & payroll including vacation/sick leave, health insurance, retirement plan and employment recordkeeping skills.
• Working knowledge of accounting and development software products a plus with the aptitude to learn new systems.
• Proactive and well organized.
• Ability to research and develop suggestions to ensure that all policies comply with state and federal regulations.

Position Title:    Community Impact & Communications Associate
Reports To:        Vice President and Director of Community Impact

Time Allotment: Full-time, Exempt position (approx. 60% of time on Community Impact, 40% on Communications)

RESPONSIBILITY
To provide key support to United Way of Siouxland’s Community Impact Director and assist with managing the funds distribution process to ensure accountability and community impact.

To develop strategic communications, increase reach and engagement with UWS donors, and maximize utilization of donor database to help advance the organization’s resource development and community impact efforts. 

ACCOUNTABILITIES

Community Impact
1.    Work with committees and agencies to develop strategies that address United Way of Siouxland’s Agenda for Change.  
2.    Responsible for configuring online application database and generating Community Impact reports.
3.    Assist in training users of online reporting software.
4.    Facilitate Community Impact Team meetings as assigned. 
5.    Assist with the facilitation of grant processes.
6.    Attend committee meetings regarding Community Impact efforts.  

Communications
1.    Ensure a positive image for United Way in all communication efforts.
2.    To serve as the lead staff for campaign communications, including developing strategies and implementing processes for donor segmentation, pulling donor lists from donor database for mailings, invites, etc., developing segmented communications as needed, and ensure that communications are consistently delivered to donors.
3.    To develop marketing and communication pieces (letters, newsletters, etc.) that demonstrate the impact of UW donations and encourage future engagement with the organization, including, but not limited to the following:  
a.    Work with staff and media to coordinate press conferences. (3 press conferences/yr.)
b.    Write and distribute timely news releases. (approx. 2 press releases/month)
c.    Maintain website to reflect current and accurate information.
d.    Manage social media efforts.  (weekly efforts w/daily monitoring)
e.    Develop & distribute communications via website, newsletters, videos, etc. 
f.    Assist staff with development of communication materials through data derived from Community Impact results. 
g.    Lead staff in producing the annual report. (2-3 days/year)

Campaign
1.    Assist in managing and providing staff support for assigned campaign accounts.
2.    Perform other duties relative to supporting the United Way campaign.

Performs other duties and responsibilities as assigned.

JOB SPECIFICATIONS
Education:  
Four year college degree preferred, but high school diploma supplemented by additional courses or equivalent job experiences acceptable.  

Experience:  
•    Experience or willingness to do public speaking.
•    Volunteer experience and/or experience in working with volunteers.
•    Demonstrated success in handling multiple tasks at one time.
•    History of supporting United Way and its mission.

Skills:
•    Experience with database software and adaptability to learn new technologies
•    Adaptability to a team environment with shared responsibilities.
•    Exceptional communication skills - written and verbal.
•    Strong organizational and time management skills. 
•    Self-starter with ability to learn quickly and apply the knowledge.
•    Ability to set and meet deadlines.
•    Capable of establishing strong relationships for networking.
•    Experience with research, planning, goal-setting, reporting, and analysis.
•    Effective teamwork with volunteers and staff.
•    Proficient with Microsoft: Excel, Office, Power Point, Publisher, and Word; and other publishing software for a PC environment.
•    Social media & website maintenance experience.
